How Much Time Is Left for Your Customers and Guests?

Prepare recurring administrative work with care – so that teams have more time for direct contact.

More time for your customers and guests. Abstract document trays, calendar, email and checklist on a dark work surface.

Answering enquiries. Searching for documents. Coordinating appointments. Entering the same information more than once. Preparing documentation and invoicing.

These tasks are part of everyday work. But they take time away from customers and guests.

In our previous article, we looked at clear boundaries for AI agents. Within those boundaries, there are practical ways to start: with recurring work that occupies teams every day.

Preparing recurring work

AI can sort incoming emails and documents, compile the information needed for a case and flag missing details for review. It can prepare draft responses and follow-up questions, and present tasks and open cases clearly.

The team remains in control: people review, decide and approve. Beforehand, it is defined which data the AI may use and which steps require human oversight.

Examples from day-to-day work

In skilled trades: AI can bring together enquiries, photos and conversation notes to prepare a quotation. It can highlight missing information, such as dimensions, material preferences or requested dates. A responsible person still reviews prices, scope and binding commitments.

In hotels: Guest enquiries can be sorted and relevant information about availability, arrival or services can be prepared. AI can draft a reply. Booking changes, binding prices, goodwill decisions and refunds remain with the responsible team members.

In care and service environments: Recurring documentation work can be structured: consolidating information from messages, preparing follow-up questions or making open items visible. Professional assessments, care decisions and binding agreements always remain with the team.

Start with one concrete workflow

The starting point is not the largest possible system, but one concrete workflow: where is time being lost? Which information is searched for or entered repeatedly? What can usefully be prepared? And where must a person review and decide?

A manageable process can be reviewed, tested and developed together. It is equally important to decide how the relief will be recognised – for example, through fewer follow-up questions, clearer handovers or more time for the work itself.

How we approach this at scnslt

At scnslt, we combine process analysis, digitalization and AI to improve precisely these kinds of workflows. We first clarify the task, the information needed, responsibilities and approvals. From there, a suitable, traceable first step can emerge.

Which recurring task would you most like to take off your team’s hands – so that more time remains for your customers and guests? We would be happy to discuss it with you.
